Overview
Double Booked Club ("we," "us," or "our") operates doublebookedromance.com — a searchable database of BIPOC-authored romance novels. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
By using this site, you agree to the practices described here. If you have questions, contact us here.
Information you give us directly
We only collect personal information when you choose to provide it — through our contact form or our book submission form. This may include:
- Your name and email address
- Your role (e.g., author, publicist, reader)
- Book metadata you submit: title, author name, genre, cover image, blurb, tropes, content warnings, and similar information
- Any other details you include in a message to us
Information collected automatically
When you visit doublebookedromance.com, certain information is collected automatically by HubSpot, our website and analytics platform. This includes:
- IP address
- Browser type and version
- Operating system and device type
- Pages visited and time spent on the site
- Referring website (how you got here)
- Search terms used within the site
This data is used in aggregate to understand how people use the site. It is not linked to your name or email unless you've also submitted a form.
How we use your information
We use the information we collect to:
- Respond to contact form inquiries and messages
- Review book submissions and add qualifying entries to the database
- Understand site usage so we can improve the experience
- Send communications you've specifically requested — we don't send newsletters or marketing emails without asking first
We do not sell your personal information. We never have and never will.
Cookies
HubSpot places cookies on your browser when you visit the site. These cookies are used to track page visits, understand traffic patterns, and recognize repeat visitors. We use this data in aggregate — not to identify you individually.
You can disable or delete cookies through your browser settings. Since this site doesn't use cookies for login or personalization, disabling them won't affect your ability to use any features.
Third-party services
We use the following third-party services to operate this site:
- HubSpot — forms, CRM, analytics, and website hosting. Information you submit through our forms is stored in HubSpot. HubSpot's servers are located in the United States. If you're outside the US, submitting a form means your data may be transferred to and stored in the US. See HubSpot's Privacy Policy.
- Affiliate retailers — some book links are affiliate links. If you click one and make a purchase, we may earn a small commission at no cost to you. Clicking an affiliate link may set cookies from that retailer per their own policies.
Data retention
We keep form submissions — contact messages and book submissions — for as long as they are useful for operating the site. In practice, this typically means:
- Contact messages are retained until the inquiry is resolved
- Book submissions are retained through the review process and, if added, indefinitely as part of the database record
- If a submission is declined, we may retain a minimal record to avoid duplicate submissions
Analytics data is retained per HubSpot's default retention settings. You can request deletion of your personal information at any time (see Your rights below).
Security
We take reasonable steps to protect the information you share with us. Form submissions and contact data are stored within HubSpot's secure infrastructure, which uses industry-standard encryption and access controls.
That said, no method of transmitting data over the internet is completely secure. We cannot guarantee that information you send to us won't be intercepted in transit. Transmitting personal information to us is at your own risk, and we encourage you to use a secure connection when accessing this site.
Your rights
You have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — ask us to correct inaccurate information
- Deletion — request that we delete your personal information
- Opt out — unsubscribe from any communications at any time
If you are a California resident, you may also have rights under the California Consumer Privacy Act (CCPA), including the right to know what categories of personal information we've collected, the purpose for which it's used, and the right to request deletion. We do not sell personal information.
To exercise any of these rights, contact us here. We'll respond within a reasonable timeframe.
Children
We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child under 13, please contact us and we will delete it promptly.
Changes to this policy
We may update this Privacy Policy from time to time. The "last updated" date at the top of this page reflects the most recent revision. If we make material changes to how we handle your information, we'll note that prominently here. Continued use of the site after changes are posted constitutes acceptance of the updated policy.
